REGISTRATION, CANCELLATION AND REFUND POLICY FOR NON-CREDITED ACTIVITIES

CONTINUING EDUCATION NETWORK - May 2023
 

This policy applies exclusively to activities organized by the Continuing Education Office at the Université de Moncton. Participants are also invited to read the privacy policies (collection, use and disclosure of personal information) found on our website.

 

1. REGISTRATION POLICY

a. Terms of payment

Payment of registration fees is accepted exclusively by credit card on our Continuing Education Office website unless otherwise indicated. Registration fees must be paid in full at the time of registration to confirm the participant's place.

b. Individual registration procedures

All registrations for training activities organized by the Continuing Education Office must be made online, via the designated website. The Continuing Education Office does not accept any other means of registration, except in exceptional situations identified as such.

Following payment for the activity, a registration confirmation (sent by email) will indicate that a place has been reserved, thereby making the participant subject to this policy.

The registration period is determined by the Continuing Education Office, which reserves the right to extend or shorten it, at its discretion, in order to fill any remaining places.

c. Group registration procedures: registration of several people from the same organization for a given offer

All registrations for activities organized by Continuing Education Office must be made online, via the dedicated website.When an organization wishes to register several people for the same activity, it may benefit from a preferential rate where applicable, as indicated on the website.

d. Registration procedures for customized training: registration of several people from the same organization

The Continuing Education Office agrees to examine the possibility of organizing on-demand continuing education sessions on one of the Université de Moncton campuses, in the workplace or by distance learning. The representative of the organization interested in holding such an activity is invited to communicate his or her need by completing the following form: Customized training request | CONTINUING EDUCATION OFFICE (umoncton.ca)

Customized training activities may involve registration, cancellation and refund conditions that differ from the present policy. In such cases, it is important to refer to the terms of the agreement signed between the parties. If no mention is made of the terms and conditions, then the present policy applies.

 

2. MODIFICATION OR CANCELLATION POLICY

Under certain conditions, it is possible to cancel a registration for a continuing education activity, obtain a refund or change the session in which the participant is registered.

a. Cancellation or transfer of registration by the participant

All requests for cancellation must be completed by the participant on the Continuing Education Office website by the dates specified. If applicable, a refund will be made in accordance with the terms of this policy.

Any request to transfer from one offer to another offer of the same training (different date or different location) must be completed by the participant on the Continuing Education website according to the dates provided for this purpose.

b. Cancellation and substitution of participants for a group from the same company

All cancellation requests must be completed by the participant on the Continuing Education Office website according to the dates provided. If applicable, a refund will be made in accordance with the provisions of this policy. 

Requests for substitution of a participant are accepted under the following conditions:

  • The request must be made 48 hours prior to the activity.
  • The organization must register the new participant on the Continuing Education Office website.

c. Cancellation for customized training courses 

Customized training courses organized for members of the same organization may be cancelled by the organization's representative by notifying the Continuing Education Office by email at formationcontinue@umoncton.ca AND/OR the development officer in contact with the organization.

However, as this is a complete cancellation of the activity, a penalty to be paid to Continuing Education Office will be calculated according to the rule below and the date on which the activity was to be held:

  • More than 30 days before the activity: no penalty. 
  • Between 30 days and 15 days before the activity: penalty equal to 50% of the amount stipulated in the agreement. 
  • 15 days or less before the activity: penalty equal to 100% of the amount stipulated in the agreement. 

Please note that all fees, other than training fees, are not included in this policy and must be paid in accordance with the agreement.

However, the Continuing Education Office reserves the right to assess, on a case-by-case basis, any exceptional situation that would allow a subsequent training session to be scheduled without penalty.

d. Cancellation by the Continuing Education Office

In exceptional circumstances, or depending on the number of participants, the Continuing Education Office reserves the right to cancel or postpone any training activity at any time. In the event of cancellation, the Continuing Education Office will notify registrants as soon as possible and will refund 100% of the registration fees to all registered participants. If the activity is postponed to a later date, the Continuing Education Office will offer an administrative registration transfer, which the participant may accept or decline. In the latter case, or in the absence of a reply, the participant will receive a full refund.

 

3. REFUND POLICY

a. Time limits and eligible amounts

The deadlines for reimbursement of the amount paid for registration in an activity are calculated according to the date of the cancellation request and the date of the activity (first session).

  • Asynchronous training activities (self-paced online, start at any time):
    • No refund.
  • Synchronous training activities (session with an instructor, in real-time, whether online or in person): 
    • 15 days before the start date of the activity: refund of registration fees subject to a $50 administrative fee.
    • Between 15 and 8 days before the activity start date: refund of 50% of the registration fee.
    • 7 days or less before the activity start date: no refund.

No refunds will be issued outside the time limits stipulated in this policy or in the event of the participant's absence from the synchronous activity. No credit will be given for subsequent training.

To submit a cancellation and refund request, participants may do so via the Continuing Education Office website.

At any time, you can indicate your interest in participating in a Continuing Education Office activity if the dates posted do not correspond to your availability, or if no session is scheduled. Simply fill in the form dedicated to the activity on the website. Without any guarantee, the need will be taken into consideration for future programming.
